Exhibitor Terms and Conditions

RECITALS

World AI X Summit organizes the AI event scheduled for May 14 & 15, 2025. The Exhibitor agrees to participate and showcase products or services under this Agreement.

1. TERM

This Agreement begins on the Effective Date and ends May 15, 2025, unless extended in writing or terminated earlier.

2. CONSIDERATION

All fees are due upon execution. Full payment is required 45 days prior to the event. Failure to pay may result in loss of space or benefits.

3. BOOKING TERMS

Exhibition space is confirmed only after full payment and a signed agreement are received.

4. EXHIBITION SPACE ALLOCATION

Space allocation is at the sole discretion of World AI X Summit. No specific preferences will be entertained. Setup must be completed by 6:00 PM on May 13, 2025. Unauthorized items or layouts are prohibited.

5. LICENSE TO USE EXHIBITOR'S BRANDING

The Exhibitor grants a perpetual, global, royalty-free license for World AI X Summit to use exhibitor materials for promotional purposes across platforms, unless revoked in writing.

6. NO GUARANTEE OF VISIBILITY

World AI X Summit does not guarantee specific foot traffic or attention to any stall.

7. NO GUARANTEES AND WARRANTIES

All services are provided "as is." Estimated figures (e.g., footfall) are not guarantees. Exhibitors are responsible for their own insurance. The organizer is not liable for property loss or damage.

8. NON-TRANSFERABILITY OF SPACE

Stall spaces may not be shared, transferred, or subleased without written consent.

9. LIMITATION OF LIABILITY

World AI X Summit is not liable for incidental or indirect damages. Exhibitors are responsible for their own operations.

10. DESIGNATED VENDOR COORDINATION

Exhibitors must use designated vendors for printing and setup. Using third-party vendors is not allowed and may result in removal without refund.

11. SAFETY REGULATIONS

Exhibitors must follow safety regulations. Repeated violations may result in stall lockdown or removal with no refund.

12. INDEMNIFICATION

Exhibitors agree to indemnify World AI X Summit against any claims arising from booth use or violations. The organizer is not liable for layout changes.

13. REFUNDS

No refunds will be provided. If the event is cancelled by World AI X Summit, equivalent services may be offered in the following year.

14. TERMINATION

Either party may terminate with written notice. World AI X Summit may terminate and revoke stalls if terms are breached. No refunds apply in such cases.

15. MISCELLANEOUS

• Exhibitor setup begins one day before the event. Dismantling must be done by 11:00 PM on May 15, 2025.
• Stalls must remain clean and orderly at all times.
• Prohibited items include explosives, radioactive materials, illegal substances, and explicit images.
• This Agreement constitutes the full understanding between both parties.
• Governing law: Manila, Philippines
• Agreement is binding to successors and assigns
• Electronic signatures are accepted
• Each party bears their own taxes
• Exhibitors must submit logos and promotional materials at least one month prior to the event

By signing or agreeing electronically, the Exhibitor accepts all terms of participation at World AI X Summit.
